Customer Reply Templates and a Professional Away Message
Ready replies for customers on WhatsApp, Instagram and email: price questions, delays, complaints, reviews, an away message, and when AI can reply for you.

Every customer who writes to you wants two things: a correct answer, and not to wait long. A good reply does not need writing talent. It needs a ready phrase for each situation that you adjust and send.
This article gives reply templates for the most common situations, for WhatsApp, Instagram and email, an away message that does not lose anyone, and when it is worth letting AI reply for you.
Three rules before any phrase
- Use their name. “Hi Sarah” lands differently from “Hi”.
- Answer in the first line. If they asked about price, the price is the first thing they read.
- End with a next step. An order link, a time, or one question that keeps the conversation going.
And one rule never to break: do not promise a price or date you are not sure of. A wrong promise loses the customer faster than a delay.
Ready replies by situation
Names and numbers are examples; use your own.
Welcome message
Welcome to Autumn Corner 🌿 How can we help today? If it is about an earlier order, send us the order number and we will reply right away.
Price question
Hi Khalid, the large size is SAR 120 including delivery in Riyadh. You can order from this link, or I can reserve one for you now.
A question you cannot answer yet
Good question, Sarah. Let me check the details and get back to you today before 5 pm.
A delayed order
Sorry for the delay, Noura. Your order left the warehouse today and arrives within two days; here is the tracking number. If it does not arrive on time, message me here directly.
An angry complaint
You are right, and this was our mistake. I want to fix it quickly: would you prefer a replacement or a refund?
Apologise once and clearly, offer the fix before any explanation, and let the customer choose.
Thanks and praise
Your message made our day, Reem. Thank you for sharing it, and see you on your next order.
Replying to reviews
Positive:
Thank you for the review, Salman. Glad you enjoyed the coffee. See you soon.
Negative:
We are sorry your experience was not what you deserved. We would like to hear the details and fix it; please message us privately with your order number.
Everyone who comes later reads your reply to a review, not just its author, so keep it calm even when the review is harsh.
Outside working hours
Your message arrived. Our hours are 9 am to 10 pm, and we will reply as soon as we open. If it is urgent, write “urgent” in your message.
A professional away message
The usual away message says “I am out of office until Sunday” and leaves the customer alone. A better one answers three questions: when you are back, who helps now, and where they can find the answer themselves.
Thanks for your message. I am on leave until Sunday 2 November. For new orders, you can order directly from the shop, and for a problem with an earlier order, contact Mona on this number. I will reply as soon as I am back.
Auto-replies on WhatsApp Business and Instagram
The WhatsApp Business app has a greeting message, an away message and quick replies, and Instagram has saved replies. They work well for greetings and absences, and the phrases above fit right in.
Their limit is clear: an auto-reply sends the same text to everyone. The person asking about price and the person complaining about a late order get the same answer. That is where reading the message before replying matters.
Replying to customers with AI
AI can write a different reply for each message, which is what a business owner needs. Its known risk is inventing a price, a date or a promise you never made.
So we built Engage Chats on one rule: replies come only from your business profile. It has two modes:
- “I’m here”: you reply, and it prepares a draft in your voice for every message. Nothing is sent until you press Send.
- “Cover for me”: when you are busy or travelling, it answers in your voice the questions your profile covers, sends a polite holding reply to complaints, payments and anything it does not know, and leaves those to you. When you are back, it sums up what it sent and what it left for you.
It replies in the customer’s language, Arabic with its dialects or English. It works with email today, and Instagram, WhatsApp and other accounts are being added.

Frequently asked questions
How do I reply to a customer professionally?
Use their name, answer the question in the first line, and end with a clear next step. Never promise a price or date you are not sure of.
What should an away message say?
When you are back, who can help now if anyone, and where common questions are answered. Avoid a bare “I am out of office”.
Is the WhatsApp Business auto-reply enough?
It works for greetings and away messages, but it sends the same text to everyone. Answering each customer’s actual question needs someone to read the message.
Can AI reply to my customers without making things up?
Engage Chats writes replies only from your business profile, so it never mentions a price or date that is not there, and it leaves complaints and payments to you.
